Ongoing Maintenance

Once Branco is set up, it mostly runs itself. But there are a few things worth checking on regularly to keep everything healthy.


Weekly

Check that feedback is flowing

The simplest health check — are people responding to the Slack bot? You can verify this by:

  • Checking your own Feedback Hub to see recent entries
  • Asking a few team members if they've received bot messages
  • Reviewing the Reports Engagement dashboard for participation trends

If feedback drops off, the most common causes are: FEEDBACK_ACTIVE got toggled off, the Slack bot lost its connection, or new users haven't been added to Branco yet.


Monthly

Review new hires and departures

  • New hires: Make sure they've been added to Branco (manually or via BambooHR sync) with the correct role, title, and team assignment.
  • Departures: Deactivate users who've left rather than deleting them, to preserve historical data.

Check the HRIS sync (if using BambooHR)

If you're using BambooHR, spot-check a few user profiles to confirm that titles, managers, and team assignments are syncing correctly. If something looks off, check the HRIS_SYNC_TITLE_FIELD setting and verify the BambooHR connection on the Integrations page.


Quarterly

Review your framework

As your company evolves, your values, skills, and competencies should evolve too. Every quarter (or at least every half), review:

  • Values & Competencies — Are they still relevant? Do any need to be added or retired?
  • Functions & Skills — Have new roles been created? Are the skill definitions still accurate?
  • Career Paths & Levels — Do the career ladders reflect your current org structure and growth opportunities?
Communicate before changing the framework

Changes to values, skills, or career paths affect every user's My Career page and the AI's suggestions immediately. Let your team know before making updates so they're not surprised by changes to their career view.

Review team structure

  • Are teams still accurate? Have any teams been created, merged, or dissolved?
  • Are team leaders still correct? Leadership changes should be reflected in Branco.
  • Are parent-child team relationships still right?

As needed

Reassign admins

If the Branco Admin or IT Admin leaves the organization or changes roles, update the assignments in Company Settings → Company tab.

Troubleshoot the Slack bot

If feedback stops flowing:

  1. Check that FEEDBACK_ACTIVE is On in Settings.
  2. Verify the Slack integration is connected on the Integrations page.
  3. Make sure the affected users are Active in User Management.
  4. Confirm they have Slack accounts in your workspace.

Onboard new managers

When someone becomes a manager for the first time, point them to the Branco for Managers guide. The key things they need to know are the "Yourself" view-as switcher, how to read Reports, and how to use the 1:1 space.
